Choose the Right Entertainment for Your Event

By now everybody knows the ante has been upped when it comes to planning events. You can't just send out invites, order dinner and let the chips fall where they may. Not if you want your guests to be engaged, anyway. Entertainment at an event is a must, and it's the thing everybody will talk about long after the festivities are over. If the entertainment falls flat, people will talk about it, but not in a flattering way.

To make sure the entertainment at your corporate event is right for the audience, here are a few things to keep in mind.

Goal of the Event

The entertainment has to suit the occasion. A meeting of company shareholders to announce annual results requires a different kind of entertainment than a project wrap party for staff and internal partners. Any entertainment that is selected should be a good fit with the ultimate goal of the event without overshadowing any messages you are hoping to convey.

Audience Demographics

If you are hosting a large corporate event, there is a good chance that you will have people from many different demographic groups. Finding entertainment that is appealing to the whole group may prove very difficult. While there are always exceptions, your older executive crowd might not be thrilled by the latest DJ and your young social media team might not appreciate the stylings of a string quartet. If you do have a big audience of people from all walks of life, smaller "entertainment stations" like a casino night or game stations may be a better plan.

Where to Spend the Budget

Entertainment is great, it's important to keep event attendees engaged. It also does add another line item to the budget. If you blow the budget on entertainment and then have to cut corners on the food and drink, it won't really matter what the guests are doing while they're at the event. A good rule of thumb is to limit the entertainment to no more than 20% of the total budget for the event.

Always Ensure Suitability

To save a lot of embarrassment, always, always, always check out the entertainment in action before you sign on the dotted line. Trust us when we say that you never, ever want to be the one ultimately responsible for an important client being raked over the coals by an off-colour remark from a salty-mouthed comedian. Professional entertainers will have a long list of references and will happily work with you to ensure their performance, no matter what niche they work in, will be appropriate for the age and tastes of the audience.

Toronto is a big city with a pretty sophisticated audience hailing from places all over the world. We're not an easily pleased bunch. Event planners must work tirelessly to make sure they keep up with the latest trends in corporate event entertainment. Make sure when planning your event you choose the right entertainment for the occasion and the crowd!
